Organize and share
Tags, projects, and team access — keep dozens of templates findable as your library grows.
A handful of templates is easy to manage. A hundred is not. EmailBuilder has three tools for keeping a growing library navigable: tags, projects, and team access.
Tags
Every email, template, and module accepts free-form tags. The Templates list filters by tag, and tags show on cards so you can scan a library at a glance.
Suggested tagging strategies:
- By customer lifecycle —
welcome,onboarding,re-engagement,winback. - By campaign type —
newsletter,promo,product-launch,event. - By status —
draft, approved, live. Useful when multiple people are editing. - By season —
holiday-2025,summer-2025. Lets you find seasonal work next year.
Add a tag from the email's settings page, or in the templates list bulk-edit menu. Tags are case-sensitive — keep a convention (we recommend lowercase).
Projects
A project in EmailBuilder is the top-level boundary for content. Each project has:
- Its own templates, sends, contacts, branding, integrations.
- Its own inspiration inbox address.
- Its own subdomain on emailbuilder.ai (if Website Builder is enabled).
Use multiple projects when you have distinct brands or teams:
- An agency managing email for several clients.
- A company with consumer and B2B brands.
- A holding group with portfolio companies.
Switch projects from the dropdown in the top-left of the app. Each project is fully isolated — templates in Project A never appear in Project B's library.
When not to use projects:
- Different campaign types for the same brand → just use tags.
- One person sending all your email → one project is fine.
- Testing → use templates with a
drafttag, not a whole project.
Team access
Invite collaborators to an account from Account → Team:
- Owner — created the account; can manage billing and add/remove users.
- Admin — can manage team and most settings, can't manage billing.
- Editor — can create and edit templates, sends, modules. Can't change integrations or billing.
- Viewer — read-only access. Useful for stakeholders who need to review without making changes.
A team member sees every project under the account. There's no per-project access control today — if you need that boundary, separate the work into different accounts.
Searching
The templates list supports a search box (top of the page). It matches on:
- Title
- Tags
- Subject line (if set)
- Internal notes
Search is substring, case-insensitive, and ANDs across tokens — typing welcome b2b finds templates that mention both.
Cleaning up
Old templates that you no longer use:
- Tag them
archivedand filter them out by default. The list has a "Hide archived" toggle. - Delete them if you're sure. Deleted templates go to a soft-delete state — recoverable for 30 days, then permanently removed.
Sends that have already gone out are immutable; deleting the parent template doesn't affect the historical sends.
Versioning
Every save of an email or page is snapshotted in version history. Open Version History from the editor header to browse past versions, preview them, or restore one into the editor. Snapshots are debounced (one per 5 minutes per document) and capped at the most recent 50 entries.
Comments
Per-element comments let teammates leave feedback on a specific block of an email without changing it. Select an element in the editor and add a comment from the Comments drawer. Comments are scoped to your account — they're invisible to anyone outside your team.
