Send Wizard

Send an email to a list, segment, or CSV in four steps. Schedule for later or save as draft.

The Send Wizard is how you send an EmailBuilder template to actual recipients via a connected ESP. It's a 4-step drawer that walks you from sender details to delivery.

Opening the wizard

From any saved template, click Send in the top toolbar. The wizard opens as a drawer over the editor.

The four steps

1. From & Subject

FieldNotes
From emailThe address the recipient sees as the sender. For Gmail/Outlook connections, this is fixed to the connected mailbox. For other ESPs, type any verified address.
From nameThe display name (e.g. "Acme Newsletter").
SubjectThe subject line. Supports merge tags from your contact list (e.g. {{first_name}}).
Internal title (optional)A label for your own reference in the sends list. Recipients never see this.

2. Audience

Pick how you want to specify recipients:

Audience typeWhat it doesWhen to use
ListsPick one or more lists from your ESP.Standard newsletter sends.
SegmentsPick a segment your ESP has defined (filtered subset of a list).Targeted sends to a slice.
CSV uploadDrop in a CSV with email and name columns.One-off sends to a list you don't keep in your ESP.
Direct (Gmail/Outlook only)Type recipient addresses as tags.One-to-one or tiny groups.

The wizard reads the connection's capabilities — Mailgun connections won't show Segments because Mailgun doesn't support them; Postmark CSV sends additionally require a Message Stream picker.

3. Schedule

OptionWhat happens
Send nowQueues the send immediately. Delivery typically starts within seconds.
Schedule for laterPick a date and time. EmailBuilder schedules the send for that exact moment.
Save as draftStored on the Sends list with status draft. Edit any field and promote it to scheduled later.

Drafts don't count against your monthly send quota until promoted. Scheduled sends do count immediately — they're booked against the quota at creation, not at delivery.

4. Review

A summary of every choice so far. The confirm button text changes per schedule type:

  • Send now → Send now
  • Schedule → Schedule for [date/time]
  • Draft → Save as draft

Optionally click Validate content to run pre-flight checks on the MJML (broken links, missing alt text, oversized images). Warnings are advisory; errors block submit.

After submitting

You land on the Sends list with the new send at the top. Its status moves through:

pending → sending → finished
                  ↘ failed
  • pending — awaiting its scheduled time (or in the immediate-send queue).
  • sending — dispatch in progress with the ESP.
  • finished — delivered to the ESP successfully. Stats (opens, clicks, bounces) appear once the ESP reports them.
  • failed — something went wrong. Click into the send to read the error message; common causes are expired ESP credentials, an unverified from-address, or an ESP-side rate limit.

Editing or cancelling

You can edit a draft freely — change recipients, subject, schedule. Promote it to scheduled when ready.

A scheduled send can be cancelled (from its detail page) up until the scheduled time. Cancellation removes it from the queue and changes status back to draft. Once it enters sending, cancellation is no longer possible.

Sends that have finished or failed are immutable — they're a record of what was sent.

Stats

Once a send is finished, the ESP starts reporting back:

  • Delivered — how many recipients the ESP accepted.
  • Opens — unique opens tracked via the pixel.
  • Clicks — unique link clicks tracked via the click-through proxy.
  • Bounces / complaints — failures and spam reports.

These show on the send detail page and update over the following hours as recipients open and click. Most ESPs report stats with a ~5–60 minute lag.

AI-composed sends

If your template has AI sections, the AI runs at send time — each AI-marked section gets freshly generated content using your attached content sources. The Send Wizard works identically; the AI work happens between your click on Send and the actual dispatch.

To preview what the AI will produce before sending, use Preview Next Send on the Sends list. You can then Save as Draft to schedule the previewed version without re-running AI.

Quotas

Each plan has a monthly send budget. The current cycle's usage shows at the top of the Sends list. Scheduling a send books its recipient count against the quota immediately — if you're close to the limit, you'll see a warning at step 4.
